Your brief is processed only for the search unless you choose to save it.
Running a search transmits the home brief and filters to ExactNest for immediate validation, filtering, and ranking. ExactNest does not add an unsaved search to the saved-search database; the displayed results and candidate saves remain in temporary browser memory. If you explicitly choose “Save this search,” ExactNest stores the search name, brief, filters, alert preference, and signed-in email so the search can persist across sessions. Alert delivery is not available before licensed listing and email operations are approved. ExactNest does not sell personal data, serve targeted advertising, or run third-party advertising analytics.
Scope and operator
This Privacy Policy applies to ExactNest websites, services, demonstrations, and communications that link to it (collectively, the “Service”). “ExactNest,” “we,” “us,” and “our” refer to the operator of the Service.
This policy does not govern third-party websites, multiple listing services, brokerages, government record systems, or other services that maintain their own privacy notices. The public listing-search link takes you to an independent site; ExactNest does not receive the searches or information you submit there. Material new data practices will be disclosed here before they are activated.
Information we collect
Information you provide
- Home-search preferences. A home brief, locations, budget, desired features, dealbreakers, risk preferences, and similar search criteria.
- Contact and account information. If contact, saved-search, account, or notification features are enabled, this may include your name, email address, telephone number, credentials, and communication preferences.
- Communications. Messages, support requests, privacy requests, partnership inquiries, survey responses, and other information you send to us.
- Listing correction reports. The listing reference, address or label, supplied URL, issue category, description, reporter name if provided, reporter email, confirmation, case status, internal notes, and suppression or restoration history.
Information collected automatically
- Technical and security information. Internet Protocol address, browser and device type, operating system, referring page, requested pages, timestamps, approximate region derived from an IP address, access-control events, error data, and security logs.
- Service activity. Searches, feature interactions, source-status requests, saved items, and performance information when those activities are transmitted to the Service. Unsaved briefs and filters are transmitted for immediate search processing but are not added to the saved-search database; candidate saves remain in temporary browser memory. Account-level saved searches are stored only when you choose the save action.
- Necessary storage. Cookies or similar technologies used by hosting, authentication, fraud-prevention, or security providers to deliver and protect the Service.
Property and listing information
ExactNest does not receive the searches you submit on an independent public listing-search site. Before an authorized feed is activated, ExactNest uses synthetic candidate data rather than MLS inventory. If a licensed feed is activated, the Service may process and display authorized property and media fields under the applicable MLS, provider, and brokerage rules. The Service may also process correction reports, public property records, permits, code records, flood information, and other property-related evidence. Public records can contain owner names or other information connected to a property. We use that information to evaluate properties, not to build consumer profiles or provide a people-search service.
Sensitive information
Do not place Social Security numbers, financial-account credentials, government identification numbers, medical information, precise real-time location, or other sensitive personal information in a home brief or message. ExactNest does not need that information to provide a property search.
Sources of information
We may receive information:
- directly from you;
- automatically from your browser, device, and use of the Service;
- from authorized property-data, media, and technology providers;
- from government agencies and public-record systems, including property, permitting, code, geographic, and flood sources; and
- from service providers that support hosting, access control, security, communications, and customer support.
How we use information
We use information to:
- interpret a home brief and apply requested filters;
- rank, explain, compare, and improve property candidates;
- display evidence, confidence levels, missing information, and tradeoffs;
- save preferences or deliver alerts when you request those features;
- respond to questions, requests, and communications;
- investigate listing corrections, communicate with the reporter or relevant data provider, suppress disputed content, document decisions, and maintain an audit trail;
- operate, debug, secure, prevent abuse of, and improve the Service;
- comply with contractual and legal obligations; and
- establish, exercise, or defend legal claims.
ExactNest may use automated systems to organize and rank property information. Those systems support a consumer's search; they do not make lending, insurance, employment, housing-eligibility, or other decisions that create legal or similarly significant effects about a person.
Retention
We retain personal information only as long as reasonably necessary for the purposes described in this policy, including providing requested features, maintaining security, meeting contractual requirements, resolving disputes, and complying with law.
- Unsaved briefs and filters are processed for the immediate request and are not added to the saved-search database. They may appear temporarily in operational or security logs as reasonably necessary to deliver, debug, and protect the Service. Displayed results and candidate saves generally disappear when the page is refreshed or closed.
- Account-level saved searches and alert preferences are retained until you delete them, close the relevant account where supported, or they are no longer reasonably needed to provide the requested feature, subject to legal and security exceptions.
- Communications and privacy requests may be retained while needed to respond, document the request, and protect legal rights.
- Listing correction cases and their action history may be retained after resolution when reasonably needed to document rights, accuracy, or takedown compliance; contact information will not be kept longer than reasonably necessary.
- Technical and security logs may be retained by ExactNest and its hosting providers for limited operational, fraud-prevention, and legal purposes.
We may retain deidentified or aggregated information that cannot reasonably be linked to you. When deletion is required, we will delete, deidentify, or securely isolate the information, subject to lawful exceptions and backup cycles.
Security
We use reasonable administrative, technical, and organizational safeguards designed for the nature and volume of information we process. Measures may include access controls, encrypted transport, secret-management practices, source authorization checks, data minimization, and monitoring for abuse.
No internet service can guarantee perfect security. You are responsible for protecting your devices, accounts, and credentials and for notifying us promptly if you believe your interaction with ExactNest has been compromised.
Your privacy rights and choices
Depending on where you live and whether a law applies to ExactNest, you may have rights to request access, confirmation, correction, deletion, or a portable copy of personal information, and to opt out of certain sales, targeted advertising, sensitive-data processing, or legally significant profiling.
To submit a request, email Admin@ExactNest.com with the subject “Privacy Request – ExactNest.” Describe the request, the email address or account involved, and your state or country of residence. We may take reasonable steps to verify your identity and authority. Do not email sensitive identity documents unless we specifically request a secure verification method.
Authorized agents may submit requests when permitted by law, subject to proof of authority and identity verification. We will respond within the period required by applicable law. If we deny a request, you may appeal by replying with the subject “Privacy Appeal – ExactNest.” We will not discriminate against you for exercising an applicable privacy right.
Children
ExactNest is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact Admin@ExactNest.com so we can investigate and, where appropriate, delete it.
U.S. processing
ExactNest is directed to users in the United States. Information may be processed and stored in the United States and in other locations where our service providers operate. Those locations may have privacy laws different from those in your jurisdiction.
Changes to this policy
We may update this policy to reflect product, legal, or operational changes. The “Last updated” date shows when it was revised. If a change materially affects how we handle personal information, we will provide additional notice when required and will obtain consent when applicable. We review this policy at least annually.
